WHAT WE COLLECT
Information you give us
- Your name, delivery and billing address, email address and telephone number
- Details of the products you order or enquire about
- Payment details, which are handled by our payment providers and are not stored by us
- Records of your correspondence with us, including emails, telephone notes and service history
- Details of any part-exchange, demonstration, installation or repair work we carry out for you
- Your marketing preferences
Information we collect automatically
- Your IP address, browser type, operating system and device
- Pages you view on our site, and how you arrived at it
- Cookie data, as set out in our Cookie Policy below
We do not knowingly collect special category data. Please do not send us health or other sensitive information unless we have specifically asked for it - for example, where it is relevant to installation access arrangements at your home.
WHY WE USE IT, AND OUR LAWFUL BASIS
We may only use your personal information where the law allows. These are the bases we rely on.
To take and fulfil your order, arrange delivery or collection, take payment and provide receipts.
Basis: performance of our contract with you.
To provide warranty cover, servicing, repairs and after-sales support, and to register your product with the manufacturer.
Basis: performance of our contract with you, and our legitimate interest in supporting the equipment we sell.
To answer enquiries, arrange demonstrations and give advice before you buy.
Basis: our legitimate interest in responding to people who contact us, and taking steps at your request before entering a contract.
To keep accounting and tax records.
Basis: compliance with our legal obligations.
To send you news, offers and event invitations by email.
Basis: your consent, or - where you have bought from us and we are telling you about similar products - our legitimate interest, under the soft opt-in permitted by the Privacy and Electronic Communications Regulations. You can stop these at any time.
To understand how our website is used and to improve it.
Basis: your consent, given through our cookie banner.
To protect our business against fraud, and to establish, exercise or defend legal claims.
Basis: our legitimate interests, and compliance with our legal obligations.

WHO WE SHARE IT WITH
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We share it with:
- Shopify Inc, who host our online store
- Our payment providers, who process your payment
- Delivery companies and installers, so that your order can reach you
- Manufacturers and their service agents, where this is needed to register a warranty or carry out a repair
- Our email marketing provider, where you have asked to hear from us
- Google, through Google Analytics, where you have consented to analytics cookies
- Our accountants, auditors and professional advisers
- Law enforcement, regulators or other authorities where we are legally required to disclose
Each of these acts either as our processor under a written contract, or as a controller in its own right under its own privacy policy.
INTERNATIONAL TRANSFERS
Some of our providers, including Shopify and Google, are based outside the United Kingdom or store data outside it.
Where personal information is transferred outside the UK, we make sure it is protected by an approved safeguard - either the UK Government's finding that the country provides adequate protection, or the International Data Transfer Agreement or the UK Addendum to the European Commission's standard contractual clauses.
HOW LONG WE KEEP IT
Order and transaction records: 6 years after the end of the tax year in which the sale took place, to meet HMRC requirements.
Warranty, service and repair records: for the life of the warranty plus 6 years, so that we can deal with claims.
Enquiries that do not lead to a sale: 2 years.
Marketing preferences and mailing list data: until you unsubscribe, and then a minimal record of your objection so that we do not contact you again.
Website analytics data: 26 months.

We delete or anonymise information once these periods expire, unless we need to keep it longer for a legal claim.
MARKETING
We will only send you marketing emails where you have asked us to, or where you have bought from us and we are telling you about similar products and you did not opt out at the time.
Every marketing email has an unsubscribe link. You can also tell us at any time by emailing info@martinshifi.co.uk or telephoning 01603 627010, and we will stop.
Unsubscribing from marketing does not stop service messages about an order you have placed.
SECURITY
We take appropriate technical and organisational measures to keep your information secure, including encrypted connections to our website, access controls, and restricting access to staff who need it.
We do not store your card details. Card payments are processed by our payment providers, who are certified to the Payment Card Industry Data Security Standard (PCI-DSS).
No transmission over the internet can be guaranteed completely secure. If a breach occurs that is likely to result in a risk to your rights, we will report it to the Information Commissioner's Office within 72 hours and tell you where the law requires.
YOUR RIGHTS
Under UK data protection law you have the right to:
- Be told how your information is used - this policy
- Ask for a copy of the information we hold about you
- Have inaccurate information corrected
- Ask us to delete your information, where there is no good reason for us to keep it
- Ask us to restrict how we use it while a concern is resolved
- Object to processing based on our legitimate interests
- Object to direct marketing at any time, with no reason needed
- Receive information you gave us in a portable electronic format, where we rely on consent or contract
- Withdraw consent at any time, where we rely on consent

We will respond within one month. There is no charge. We may ask you to confirm your identity before we release information.
Withdrawing consent does not affect anything we did lawfully before you withdrew it, and it does not affect processing we carry out on another basis - for example, keeping your order records for tax.

If you are unhappy with how we have handled your information, please tell us first at info@martinshifi.co.uk and we will try to put it right.

CHILDREN
Our website and products are intended for adults. You must be 18 or over to place an order. We do not knowingly collect information from children. If you believe a child has given us personal information, contact us and we will delete it.

These make the site work and cannot be switched off. They remember what is in your basket, keep your session secure, and manage checkout. We do not need your consent for these.

Where we make a significant change to how we use your information, we will tell you directly if we hold your contact details.
If our business is sold or transferred, your information may transfer with it. The new owner may only use it in the ways set out in this policy, and we will tell you if this happens.
